This Privacy Policy explains how RKM LOGISTICS PTY LTD (“RKM Logistics”, “we”, “us”) collects, uses, discloses, stores, and protects personal information in connection with our freight forwarding and logistics coordination services and this website. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Scope

This policy applies to business contacts, authorised representatives of corporate customers, suppliers, carriers, and website visitors who interact with us. It does not apply to employee records managed under separate employment policies.

2. Kinds of personal information we collect

  • Identity and contact data — names, job titles, company names, business addresses, email addresses, and telephone numbers.
  • Shipment and commercial data — cargo descriptions, origin and destination details, incoterms, purchase order references, invoicing and payment information necessary to perform services.
  • Quote and enquiry data — information submitted via our request-quote form, email, or telephone, including cargo dimensions, weights, and special handling requirements.
  • Website usage data — server logs, IP addresses, browser type, pages viewed, and cookie identifiers as described in our Cookie Policy.
  • Compliance data — information required for customs, biosecurity, export control, or chain-of-responsibility obligations, which may include identification documents where lawfully required.

3. How we collect information

We collect personal information directly from you, from your authorised staff, from customs brokers and carriers acting on your instructions, and from publicly available business registers. Where lawful and practicable, we will notify you if we collect information about you from a third party.

4. Purposes of use and disclosure

We use personal information to provide quotations, book and monitor freight movements, prepare documentation, invoice for services, respond to enquiries, manage accounts, comply with Australian Border Force and other regulatory requirements, and improve our operations. We disclose information to carriers, airlines, shipping lines, customs brokers, warehouse operators, IT service providers, and professional advisers who assist us under confidentiality obligations. We do not sell personal information.

5. Overseas disclosure

International freight inherently involves transmission of consignment data to overseas agents, carriers, and port authorities. Where we disclose personal information outside Australia, we take reasonable steps to ensure recipients handle it in a manner consistent with the APPs, including contractual safeguards where appropriate.

6. Data quality and security

We take reasonable steps to ensure personal information is accurate, up to date, and complete. We implement administrative, technical, and physical safeguards proportionate to the sensitivity of the data, including access controls on shipment files and secure handling of payment instructions. No online transmission is entirely risk-free; you should verify payment details using established channels if instructions change unexpectedly.

7. Retention

We retain records for periods required by customs, taxation, and transport law, and for dispute resolution. When information is no longer needed, we destroy or de-identify it securely where practicable.

8. Access, correction, and complaints

You may request access to or correction of personal information we hold about you by contacting us at info@rkmlogistics.com.au. We will respond within a reasonable period. If you believe we have breached the APPs, you may complain to us first; unresolved matters may be referred to the Office of the Australian Information Commissioner (OAIC).

9. Marketing

We may send service-related updates to existing customers. You may opt out of non-essential marketing communications at any time by contacting us.

10. Changes

We may update this Privacy Policy by publishing a revised version on rkmlogistics.com.au. Material changes will be indicated by an updated effective date.

9. Marketing communications

Where we send operational or service updates by email, you may opt out of non-essential marketing messages while continuing to receive shipment-critical communications necessary to perform contracted services.

10. Policy changes

We may amend this Privacy Policy to reflect legal or operational changes. The effective date will be updated and material changes communicated where practicable via our website or direct notice to active account contacts.
